How to print address labels from Excel or Google Sheets
Quick answer: open your Excel file (or copy the cells from Excel or Google Sheets and paste them), check the label template — {Name}, {Address}, {City}, {State} {ZIP} — pick your sheet, such as Avery 5160 (30 labels of 1 × 2⅝ in), and print at Actual size (100%). Columns are matched by their names, empty lines are skipped, and a long address shrinks to fit its label instead of spilling into the next one. You can also download a PDF to print later or send to a print shop. It is built for Christmas card lists, wedding invitations and club or client mailings, and it needs no Word: Word for the web can’t make mail merge labels at all.
Most misprinted labels come from the print dialog, not the template: “Fit to page” scales the sheet down a few percent, so the labels drift further off with every row — the usual reason an Avery 5167 sheet “isn’t lining up”. Print at 100% on the matching paper size, run the one-page alignment test on plain paper first, and use the printer adjustment if your printer is slightly off. Excel also drops leading zeros from ZIP codes — every Puerto Rico ZIP starts with 00 — and the tool puts them back when the column has other five-digit codes. Your list is read in this browser tab and never uploaded.

Print labels from Excel, step by step
- Open your .xlsx or .csv file, or select the cells in Excel or Google Sheets (header row included), copy, and paste them in the box.
- Check “What goes on each label”: each line is a line of the label, and {Column} is replaced by that column. Click a column name to add it.
- Choose the label sheet. If the first labels on your sheet are already used, set “Start at label” to the first free one.
- Click Print alignment test and print it on plain paper at Actual size (100%). Hold it against a label sheet up to the light.
- Load the label sheet and click Print labels, again at 100%. Or download the PDF and print it from any PDF reader.
FAQ
Why do my labels print shifted down the page?
Usually because the print dialog is scaling the page: “Fit to page” or “Shrink oversized pages” makes everything a few percent smaller, so each row lands a little higher than the label below it. Choose Actual size (100%), the paper size of your sheets (Letter for Avery 5160) and margins “None” or “Default”, print the alignment test on plain paper, and if your printer is still a millimeter or two off, use the printer adjustment.
Can I print address labels from Excel or Google Sheets without Word?
Yes. Open the .xlsx or .csv file here — or select the cells in Excel or Google Sheets, copy and paste them — check which columns go on each label, choose your sheet and print or download a PDF. There is no data source to connect and no “Next Record” field to copy to every label.
Why did my ZIP codes lose the leading zero?
Excel stores 00926 as the number 926 unless the column is formatted as Text, and a custom 00000 format only hides the problem. This tool restores the zeros when the ZIP column also has five-digit codes. In Excel itself, format the column as Text before typing or importing.
How do I address a label in Puerto Rico with an urbanization?
Put the urbanization on its own line above the street line, as USPS asks: MRS MARIA SUAREZ / URB LAS GLADIOLAS / 150 CALLE A / SAN JUAN PR 00926-3232. Keep CALLE and AVENIDA in Spanish. A column named Urbanization (or Urb) is placed above the street automatically.
